Privacy Policy

Sui Inc. (hereinafter referred to as "the Company"), its officers, all employees, and those with whom it has concluded sales agency agreements recognize that it is an important social responsibility to comply with laws and regulations regarding personal information protection and other related laws and regulations and to protect personal information handled in the course of business.     If an individual requests disclosure, correction, or suspension of use of personal information held by the Company, the Company will promptly respond in accordance with the spirit of the law after proper identity verification.
  6. Compliance with Laws and Review

    The Company will comply with laws and other norms applicable to personal information and will continuously review the contents of the above items regarding the handling of personal information and strive for their improvement. Furthermore, if the content of the personal information protection policy is changed, it will be immediately published and announced.

  5. Procedures for Disclosure Requests in Writing

    A separate fee will be charged for written procedures. Please inform the above contact point in writing that you wish to make a request for disclosure, etc. We will confirm your identity or that of your representative using our dedicated form and then respond. Please note that requests not made through these procedures may not be accommodated.

Information on the Disclosure, etc. of Personal Information

When an individual whose personal data is held by Iki Co., Ltd. (hereinafter referred to as "the Company") or their representative requests disclosure, correction, or suspension of use of the personal data held by the Company, we respond as follows:

    1. Documents to be submitted for requests for disclosure, correction, or suspension of use

      If the individual or their representative wishes to request disclosure, correction, or suspension of use of personal information held by the Company, please complete the following request form (A) with all necessary information, make copies of the identity verification documents (B), and mail them in the Company's self-addressed envelope.

      (A) Company-prescribed request form

      “Request for Disclosure, Correction, or Suspension of Use of Retained Personal Data, and Power of Attorney”

      (B) Documents required for identity verification

      1. Driver's license
      2. Health insurance card
      3. My Number Card (front side, with no personal number written)
      4. Certificate of seal registration (issued within 3 months of creation. Please affix your registered seal in the margin of the original certificate of seal registration)
      5. Residence Card
      6. Special Permanent Resident Certificate
      7. Passport (address must be included. Those issued after February 4, 2020 are not accepted)

      ※Current address, name, and date of birth must be stated.

      ※Expired documents are not accepted.

       

      1. Requests for Disclosure, Correction, or Suspension of Use by a Representative

        If a representative submits a request for disclosure, correction, or suspension of use, the following identity verification documents for the representative are required in addition to the identity verification documents for the individual listed above.

        When a legal representative makes the request

        1. Parent's identity verification documents (parent) + family register extract showing relationship with the individual
        2. Guardian's identity verification documents (guardian) + public certificate proving the guardianship of the individual

        When an arbitrary representative makes the request

        1. Arbitrary representative's identity verification documents (arbitrary representative) + power of attorney from the individual
        ※Copies of the representative's identity verification documents should comply with (B) above.
        ※If there are any deficiencies in the required documents mentioned above, we will notify you accordingly. However, if the necessary documents are not submitted within two weeks of notification, we will consider the request as not having been made.

         

    Please note that we cannot accept requests made by visiting our office directly.
    We appreciate your understanding.

    1. Fees

      (1) When requesting disclosure

      For written disclosure requests, a fee of 1,200 yen per request will be charged, in principle, for the costs associated with the application, such as document preparation and postage, prior to our response.

      (2) When requesting notification of purpose of use, correction, or suspension of use

      There is no fee for requests for notification of purpose of use, correction, or suspension of use, provided that the retained personal data is specified. However, if you wish to have a confirmation document sent, a fee of 1,200 yen will be required per request. Please note in advance that fees cannot be refunded even if the disclosure request cannot be met.
    2. Method of responding to requests for disclosure, correction, or suspension of use

      Responses to those who submit a request form (the requester or their representative) regarding personal data held by the Company will be provided in writing and sent by registered mail, restricted to the addressee only, in principle. While we endeavor to respond to requests promptly, please note that it may take approximately 10 business days from receipt of the request until the response document is dispatched. In unavoidable circumstances, this may be extended by a maximum of 20 days. Furthermore, please understand in advance that we may not be able to meet your request, such as in cases where the requested personal data cannot be disclosed.
    3. Purpose of Use of Personal Information Acquired in connection with Disclosure Requests, etc.

      Personal information acquired again in connection with a request will be handled only within the necessary scope for investigation of the disclosure request, verification of the individual or representative, and response. Submitted documents will be appropriately managed and disposed of within six months after the response to the disclosure request is completed.
    4. Cases where requests for disclosure of "retained personal data" cannot be accommodated

      Regarding the personal data held by the Company, disclosure will not be made in the following cases. If non-disclosure is decided, we will notify you with the reason. Please also note that in cases of non-disclosure, the prescribed fee will not be refunded.
      1. When identity cannot be confirmed, such as when the address stated in the request form and the address stated in the identity verification documents do not match our registered address.
      2. When a request is made by a representative, and the authority of representation cannot be confirmed.
      3. When there are deficiencies in the prescribed procedures or request documents, etc.
      4. When the prescribed fee has not been paid.
      5. When the subject of the disclosure request does not fall under "retained personal data," or when it does not fall under the scope of disclosure requests under the "Act on the Protection of Personal Information" for other reasons.
      6. When there is a risk of harming the life, body, property, or other rights and interests of the individual or a third party.
      7. When there is a risk of causing significant hindrance to the proper operation of our business.
      8. When disclosure would violate other laws and regulations.

    6. Other Matters

      1. We may contact the individual (or their representative) to confirm details.
      2. Documents such as request forms once received by the Company will not be returned.
      3. If you request to suspend the use of some or all of your information in our possession, we may unfortunately be unable to provide services according to your wishes. We ask for your understanding and cooperation in this regard (please note that requests for suspension or deletion of information held based on relevant laws and regulations may not be accommodated).
      4. Please be aware that the content of "Guidance on Disclosure, etc., of Personal Information" may be changed without prior notice.
